Scheduled around the job, not the hour
Assignments are built from what the job needs — licence and skill, drive time from the previous stop, parts on the truck, and the window the customer agreed to. A shift grid cannot express any of that.
Hours come from the work, not a timesheet
Time on site is captured against the job as it happens, including travel, so payroll and job costing use the same numbers instead of a memory of the week.
The schedule tells people it changed
When a job moves, the tech and the customer both hear about it. Most missed appointments are a communication failure, not a scheduling one.
What it takes off your plate
The schedule lives on a whiteboard and in a group chat
One shared schedule with jobs routed by skills, drive time and parts, visible to the office and the crew at the same time.
Nobody knows who is available
Availability is computed from real conflicts — assigned jobs, time-off, recurring commitments — instead of being kept in someone’s head.
Customers are surprised by arrival times
Confirmations and on-the-way notices go out on their own, so the appointment is still good when the truck pulls up.
Hours are reconstructed on Friday
Time is logged against jobs on site, so payroll and job costing are the same set of numbers.

Questions contractors ask us
Is this shift scheduling software?
Not in the retail or hospitality sense. If you need to fill a rota of opening and closing shifts, a dedicated shift tool will fit better. Hero365 schedules field work: a job at an address, in a time window, with a technician who has the right skills and the parts on the truck. Most trade businesses need the second one and try to force the first.
How does it decide who to assign?
From the job’s requirements and the crew’s real constraints — licences and skills, drive time from the previous stop, the parts on each truck, and existing commitments including time-off. Hero AI proposes the assignment and you approve it; as it earns trust you can let it dispatch low-risk jobs on its own.
Does it handle time-off and availability?
Yes. Technicians are available by default during business hours, and conflicts are subtracted — assigned jobs, time-off requests, unavailability blocks and recurring patterns. That is why the calendar reflects who can actually take a job rather than who is nominally rostered.
Do the techs need their own logins at extra cost?
They get the mobile app, and pricing is per business rather than per user, so putting the whole crew on it does not change the bill.
Can it track hours for payroll?
Time is captured against the job on site, including travel, and feeds both payroll and job costing. It works offline and syncs when the phone gets signal, which matters in basements and new builds.
