Best Plumbing Software UK 2026: What Small Plumbing and Heating Firms Actually Need
Most plumbing software lists rank by features. We rank by what a 1-5 person UK firm has to do: MTD, Gas Safe CP12s and pricing that doesn't balloon with every new engineer.

It’s 9:40pm. You’re on your back under a customer’s sink, and your phone buzzes on the lino. Burst pipe, three streets away. You can’t answer it. Tomorrow morning there’s a landlord waiting on a CP12 you haven’t typed up, a boiler quote from Monday you never sent, and a quarterly tax update you’ve half forgotten about.
Sound familiar?
Search for plumbing software and you’ll get a wall of listicles. Many of the top results are US vendor pages pitched at American contractors, with no UK certificates and no HMRC angle. The UK ones mostly rank tools by brand or feature count. Useless if you’re a Gas Safe engineer in Leeds with one van and a lad.
So here’s how we’d choose, as a small plumbing and heating firm. Start with the law and the tax, then the price, then the features.
Best plumbing software UK 2026: start with three questions, not a feature list
Before you open a single free trial, answer these:
- Are you a sole trader or a limited company? That decides whether Making Tax Digital (MTD) lands on you.
- Do you issue Gas Safe paperwork? If yes, certificates aren’t a nice extra. They’re the job.
- What does it cost at 1, 3 and 5 engineers? Per-user pricing is cheap for one person and gets expensive fast.
None of the big ranking pages answers all three. We will.
Question 1: MTD decides whether quoting and invoicing alone is enough
Making Tax Digital for Income Tax became mandatory on 6 April 2026 for sole traders and landlords with qualifying income over £50,000. The threshold falls to £30,000 in April 2027 and £20,000 in April 2028.
That’s not theoretical. More than 864,000 people had to send their first quarterly update by 7 August 2026, using compatible software.
Here’s the good news for this year. There are no penalty points for late quarterly updates in 2026/27. From year two, each missed quarter earns a point, and at four points you pay a £200 fixed penalty. Late Self Assessment returns and late payments are still penalised, and 31 January hasn’t moved.
And limited companies? Not covered by MTD for Income Tax. Partnerships aren’t in scope for now either.
What does that mean for buying?
- Sole trader over £50k: you’re already filing quarterly. Your software needs to keep digital records and link to your accounts package.
- Sole trader at £30k–£50k: you’re in from April 2027. Use this year as practice.
- Ltd company: MTD isn’t your headache. Your focus is job flow and getting paid.
A tool that only does quotes and invoices, with no way to feed your books, is the wrong tool for a sole trader. Ask every vendor, us included, exactly how your numbers reach HMRC.
Question 2: if you sign off gas work, the certificate comes first
A landlord must give tenants a copy of the CP12 within 28 days of the inspection. Do twenty of those for one letting agent and you’ve got a recurring admin job that eats Friday evenings.
So test the actual form. Does it match what you issue? Is it included, or locked behind a higher tier? Does it work in a boiler cupboard with no signal?
Some options worth knowing:
- Clik Compliance is built for regulated certificates across electrical, gas, fire and HVAC. Entry is £20 per user per month for 5 templates and up to 30 certificates a month. Advanced is £25 per user per month for 12 templates and up to 80 certificates. Watch those caps if you’re landlord-heavy. We compared it with other certificate software in our NICEIC cert software roundup.
- Commusoft and Joblogic put CP12 and service records into the job record, aimed at firms with service contracts and asset tracking. Both are quote-only, so get the number in writing.
- ServiceM8 charges per business rather than per user, with job limits on its tiers. Check which certificate forms sit on which tier.
Our view: don’t pay for Commusoft or Joblogic-class software until you’ve got hundreds of maintenance contracts or a landlord portfolio to track. A 1-5 person firm doing mostly reactive work and boiler swaps rarely needs that weight.
Plumbing software for small business: what it costs at 1, 3 and 5 engineers
Per-seat pricing means every new hire raises your software bill. That’s backwards for a small shop.
Here’s what the published numbers look like. Tradify’s UK prices are £34 Lite, £37 Pro and £44 Plus per user per month (checked 19 August 2026). Hero365’s plans are flat, with no per-seat charge.
| Engineers | Tradify Lite (£34/user) | Tradify Pro (£37/user) | Tradify Plus (£44/user) | Hero365 (flat) |
|---|---|---|---|---|
| 1 | £34 | £37 | £44 | from £19.99/month |
| 3 | £102 | £111 | £132 | same plan, no per-seat charge |
| 5 | £170 | £185 | £220 | same plan, no per-seat charge |
Monthly figures. Clik’s £20 entry plan would run £20, £60 and £100 at the same headcounts. VAT status isn’t stated on either vendor’s page, so check before you budget.
Now, the honest bit. Those aren’t identical jobs. Tradify is job management with quotes, scheduling and invoicing. Hero AI is your AI staff: it answers and books calls, drafts quotes, chases invoices and follows up. Plenty of small firms run a certificate specialist for the paperwork and Hero AI for the front desk. We went deeper on the per-seat maths in our Tradify pricing and alternatives breakdown.
Heat pump work needs a grant line on the quote
If you’re chasing MCS work, this one catches people out.
The Boiler Upgrade Scheme gives £7,500 towards air or ground source heat pumps in England and Wales, and £2,500 for air-to-air units (added April 2026). As the installer, you apply to Ofgem and pass the grant on as an upfront discount, shown on both the quote and the final invoice.
Vouchers last three months (six for ground source). If the job stalls, you reapply.
So ask any vendor to demo a quote with the grant as its own line, and ask how you’d track the voucher window. If they can’t show it, move on.
How to trial it without wasting a fortnight
Most vendors give you around 14 days free. Use them on real jobs, not demo data:
- One CP12, start to finish
- One boiler quote with a Good/Better/Best option
- One invoice that lands in your books
- One job in a basement or plant room with no signal
- Your actual phone and tablet, especially if you’re not all on Apple
And think about the calls you’re not answering while you test. Most small contractors miss around 40% of after-hours calls, and that burst pipe at 9:40pm goes to whoever picks up. Hero AI answers those calls 24/7 and books the job straight onto your board. Our never miss another call page shows how it works, and our guide to plumbing business management software that does more than invoices covers the rest of the week.
