Job Management Software for Tradesmen: What It Really Costs Your Firm in 2026

Every review site quotes a different price for the same job management software. Here's a dated, vendor-sourced cost breakdown for a 1, 3 and 8-person UK firm, plus an MTD checklist.

Job Management Software for Tradesmen: What It Really Costs Your Firm in 2026

The next Making Tax Digital quarterly deadline is 7 November. If you’re a sole trader earning over £50k, you’ve already filed one update through recognised software. If you haven’t, you’re reading this with a slightly tight chest.

And if you’re in the £30k band, your turn comes in April 2027. Which means the job management app you pick this winter isn’t just about quotes and diaries any more. It’s about whether HMRC will accept what comes out of it.

We talk to plumbers, sparkies and heating engineers every day. The complaint is always the same: every review site quotes a different price, none of them say what your firm will pay, and none of them mention MTD. So here’s the guide we’d want if we were buying.

Job management software for tradesmen: why 2026 is different

For years, picking job management software was a convenience decision. Quotes, invoices, a calendar. Nice to have.

Now there’s a legal clock on it. Making Tax Digital for Income Tax started on 6 April 2026 for sole traders and landlords with qualifying income over £50,000. The threshold drops to £30,000 in April 2027 and £20,000 in April 2028.

HMRC said in July that more than 864,000 people were in scope, and updates must go through recognised software. The later quarterly deadlines are 7 November, 7 February and 7 May, and the 31 January tax return deadline stays too, according to SMEWeb.

Are tradespeople ready? A vendor survey of heating and plumbing tradespeople found only 27% knew about MTD for Income Tax and just 23% had taken any action.

Here’s the good news. There are no penalty points for late quarterly updates in 2026/27. From 2027/28, each missed deadline earns a point, and four points trigger a £200 penalty. So treat this year as your free trial. Run your quarterly updates through your chosen software now, so the first live deadline isn’t the first time you’ve tried it.

The pass/fail checklist before you look at price

Don’t start with features. Start with the things that can sink you.

  • Does it file MTD quarterly updates? Or does it need Xero, QuickBooks or FreeAgent bolted on? If so, add that to the bill. Pass/fail.
  • Are certificates included in your plan? CP12, EICR, Gas Safe paperwork. Some vendors put these behind a higher tier. One review site says on Tradify certificates and progress invoicing sit on Pro — check the vendor’s own page.
  • Does it handle CIS? If you subcontract or get paid under the Construction Industry Scheme, test how deductions are recorded during the trial. Don’t assume.
  • Can you export your data? Customers and job history. Before you sign anything.
  • Is it monthly and rolling? Lock-ins are how a bad fit becomes a two-year problem.

On CP12s specifically: landlord gas safety records can be kept electronically if they can be reproduced in hard copy, are secure and uniquely identify the Gas Safe engineer. Landlords keep records for at least two years and give tenants a copy within 28 days of the check. Tenants can still insist on paper. So test that the PDF comes out clean and carries your Gas Safe details. Do it on a real job, not a demo.

What job management software costs: 1, 3 and 8 people

Here’s where the review sites fall down. Pricing comes in three shapes: per user, per job with unlimited users, and flat. Which one wins depends on your headcount and your job volume. Not on whichever headline number looks smallest.

And headline numbers are unreliable. Tradify shows up at £21, £29 and £34–44 per user per month depending on which review you read. We only quote vendors’ own pages, with the date we checked.

What you’d pay a month 1 person 3 people 8 people
Tradify Pro (£37/user, vendor page, checked 28 July 2026) £37 £111 £296
Clik Compliance Entry (£20/user, certificates only, 30 a month cap — checked 2 August 2026) £20 £60 £160
EasyCert Pro (£174.95 one-off, 1 PC — Customer Care renewal extra and unpriced) £174.95 once per PC per PC
Hero AI (flat — £19.99, £119 or £289, no per-seat pricing) £19.99+ same same
ServiceM8, Joblogic, Commusoft, Simpro Quote-only — ask for the all-in monthly figure

A few honest notes on that table. Tradify’s price list runs Lite £34, Pro £37 and Plus £44 per user a month, so we used Pro because that’s where certificates are reported to sit. Prices are often shown ex-VAT, and VAT status isn’t always stated, so ask.

Clik and EasyCert do certificates, not the whole job. They’re a fair comparison only if certificates are all you need.

And for the quote-only vendors, we won’t guess. Ask each one for the all-in monthly cost for your headcount, including SMS and payment fees. Job software plus an MTD bridge plus text messages can double the headline price.

Per user versus per job

ServiceM8 charges by job volume with unlimited users, while Tradify and Joblogic charge per seat. For a three-person firm doing a modest number of jobs, per-job pricing can come out well below a per-seat tool. A volume-heavy firm doing 150+ jobs a month can flip that maths entirely. So count your jobs per month before you shop. Properly. Not a guess.

Then define “user” before you sign. Joblogic’s pricing page says a user includes office staff and managers as well as field engineers. Add a bookkeeper and an apprentice and your three-person firm is paying for five. Per-seat creep is why a cheap tool stops being cheap.

We went deeper on one vendor in Tradify pricing and alternatives if you want the full breakdown.

Where a job management app stops and an AI staff member starts

A job management system stores things. Jobs, customers, certificates, invoices. It’s a filing cabinet that got very good at maths.

But it doesn’t pick up the phone. It doesn’t ring the customer who hasn’t paid. It doesn’t notice you’ve booked two jobs across town at the same hour.

Picture this: it’s 7:40 on a Tuesday, you’re under a sink, and the phone rings twice, three times. Voicemail. That’s a £300 emergency call gone to the next plumber in the search results. Your job management app, however good, never knew it existed.

That’s the gap Hero AI fills. It’s your AI staff — it answers and books calls 24/7 and drafts a Good/Better/Best estimate from a voice note. It also routes the day, chases overdue invoices and keeps the books clean. Our pricing is flat: £19.99 a month for the AI Concierge, £119 for Growth and £289 for Scale, with no per-seat charge. Add an apprentice and the bill doesn’t move.

Be careful with the MTD test here, though. Apply the same pass/fail checklist to us as you would to anyone: check what your accounts route into, and which recognised software files your quarterly updates. We’d rather you ask the question than assume.

How to choose in an afternoon

Here’s the short version.

  1. Count your people and your monthly jobs. That tells you whether per-user or per-job pricing suits you.
  2. Run the pass/fail checklist. MTD, certificates, CIS, export, rolling terms.
  3. Ask for the all-in monthly price. Including SMS, payments and any accounting link.
  4. Trial it on a real week. Raise a real quote, a real certificate and a real invoice.
  5. Check who owns it. Tradify is now owned by Access Group, so expect packaging and pricing changes. That isn’t automatically bad. It’s a reason to stay on monthly.

One last thing. UK e-invoicing is coming in April 2029, with the format spec not due until 2027-28. Don’t pick anything today on the strength of it. Use it as a tiebreaker: prefer vendors with a UK product team and an accounting sync.

If you’re after more on choosing, our field service management guide for UK firms covers the wider picture. And if paperwork is what’s eating your evenings, have a look at how Hero AI helps you cut the paperwork.
