Solar Installer Software UK: Surveys, Quotes and MCS Paperwork Without the Admin Overload

Demand isn't your problem — paperwork is. Here's what a UK solar installer actually needs from a phone on survey day and install day, with real £ benchmarks.

The panels went on Tuesday. The customer’s thrilled. And it’s now the following Thursday, you’re on a roof in the rain on a different job, and the MCS certificate for Tuesday’s install still hasn’t been raised.

Sound familiar?

UK solar is having a monster year. MCS recorded 369,000 certified small-scale renewable installs in 2025, with rooftop solar alone hitting 267,032 — 31% above the 2011 record. Demand isn’t your constraint. Paperwork is. And the right solar installer software UK firms can lean on in 2026 is the kind that gets that paperwork done on the day, not on a Friday evening at the kitchen table.

Why solar installer software UK firms choose now matters more than last year

Three things have changed at once.

MIS 3002 V6.0 is live. It was published in March and has been mandatory since 18 June 2026. It tightens the evidence you need on mounting systems (clause 5.5.5) and wants written confirmation that the install follows the manufacturer’s instructions. “We checked it on the day” doesn’t cut it anymore.

The clock is shorter than it feels. Clause 6.3.2 requires MID registration and MCS certificate generation within 10 working days of commissioning. MCS’s own MID guidance says the MID won’t accept a commissioning date more than 10 working days old without a late-reason entry.

The scheme itself is being rebuilt. The redeveloped Installer Scheme brings a Technical Supervisor tied to individual installs, a direct Installer Agreement with MCS and a risk-based assessment model. Most certification bodies are moving installers across during 2026, and one reported all-installer deadline is 31 March 2027. Ask your certification body when your turn comes.

Meanwhile there are now over 4,000 certified solar PV contractors, after 718 joined in 2024 alone. More competitors chasing the same leads. So speed and a tidy handover pack are what win jobs.

What a typical domestic job needs by sign-off

Here’s the pile, per job:

  • MIS 3002 evidence
  • IEC 62446 test results
  • BS 7671 EIC
  • Building Regs notification (before handover, where you’re responsible for it)
  • DNO notification (G98) or G99 approval
  • MID registration and the MCS certificate
  • Handover pack

And the customer’s SEG application hangs off that MCS certificate. Practitioner guidance on solar commissioning compliance lists much the same set — though it’s vendor-authored, so treat it as guidance rather than gospel.

Commentary in the trade press says there’s no single UK product that unifies MCS, DNO, Building Regs and SEG paperwork. Most installers run them as separate islands. So the practical question isn’t “which app does everything?” It’s “what must my phone capture on the day so nothing gets reconstructed later?”

The mobile field service software checklist nobody else writes

Search “mobile field service software” and you’ll get a wall of US-built vendor pages banging on about offline sync and GPS. Fine features. Not one of them mentions MCS, MID, G98/G99 or SEG. Here’s what a UK solar firm actually needs.

Survey day

  • Required-photo checklist the surveyor can’t skip: roof covering, rafters, mounting points, consumer unit, meter, cable route, DNO cut-out
  • Roof pitch, orientation, shading and measurements captured as fields, not notes
  • Mounting-system confirmation recorded per job (the clause 5.5.5 point), with photos geo-tagged and attached to the job record at survey, not hunted for at audit
  • Customer’s signature and any flat-roof or ballast notes
  • Enough detail to produce a proper performance estimate the same day

Install day

  • Commissioning date, system size and component serial numbers entered before you leave site
  • IEC 62446 and EIC test results attached to the job
  • G98 notification or G99 approval status noted
  • Technical Supervisor named and sign-off recorded per install
  • Manufacturer’s-instructions confirmation ticked off
  • Financial protection product (at least six years of cover on every domestic install) logged against the job

If your current app can’t force a required photo, it’s a notebook with a map on it. Not worth paying for.

Is a generic app enough for MCS work?

Honest answer: for scheduling, invoicing and customer comms, yes. For MCS, DNO and MID, no. Generic job-management apps handle the diary well, but they don’t produce MCS pre-sale performance estimates or submit to the MID.

Here’s how the pieces split:

Job Generic job app Solar-specific design/compliance tool Hero AI
Diary and routing ✅ Varies ✅
MCS performance estimate ❌ ✅ ❌
MID / DNO submission support ❌ Varies ❌
Answers enquiry calls 24/7 ❌ ❌ ✅
Drafts Good/Better/Best quotes from a voice note ❌ Varies ✅
Chases overdue invoices Varies ❌ ✅

We’ll be straight: Hero AI isn’t your MCS certificate generator. The MID, DNO and certificate steps still happen in their own portals, and your Technical Supervisor signs them off. What Hero AI does is take the surrounding admin off your plate — the stuff that eats the hours you need for that paperwork.

What Hero AI takes off your plate

Picture a Monday. Three enquiries came in over the weekend, one while you were up a ladder on Saturday. Hero AI answered all three, took the address, roof type and whether they want a battery, and booked two surveys straight onto the board. It routed the survey days so you’re not zig-zagging across the county.

After the survey, you talk a voice note into your phone. Hero AI drafts a Good/Better/Best quote — say, panels only, panels plus battery, panels plus battery plus EV charger — in under a minute. That’s solar quoting software behaviour without you sitting at a laptop at 9pm. Same-day proposals beat the installer who sends a spreadsheet three days later.

After install, Hero AI chases the stage payment you’ve been too busy to ring about, follows up for the review, and re-engages old quotes that went quiet. With the Warm Homes Plan’s £15bn package and its £2.7bn Boiler Upgrade Scheme budget to 2029/30, solar-plus-heat-pump enquiries are only going one way. Missing them because your phone was in the van is expensive.

If new-build work is on your radar, note that 28% of 2025 MCS installs were on new builds (over 36% for solar), with the Future Homes Standard set to mandate solar on new homes from 2027. We’ve covered the quoting side of volume work in our building estimating guide.

What this costs in pounds, honestly

Published UK prices, checked on the vendors’ own pages:

  • Clik Compliance: Entry £20/user/month (5 templates, up to 30 certificates a month), Advanced £25/user/month. It’s built for regulated certificates in electrical, gas, fire and HVAC.
  • EasyCert Pro: £174.95 one-off licence for BS 7671 certificates (renewals sold separately).
  • Tradify: £34 (Lite), £37 (Pro) or £44 (Plus) per user per month for quotes, scheduling and invoicing. Five people on Pro is £185 a month, and it climbs with every hire.
  • Hero AI: £19.99/month for the AI Concierge, £119/month Growth, £289/month Scale. No per-seat pricing. See pricing.

Several other tools in this space are quote-only, so ask for numbers before a demo. And do your own sums: if good software saves 1.5–2 hours per job across 20-plus jobs a month, that’s 30–40 hours back. One admin hire is £25k+. Set that against any monthly fee.

Start with the gap that hurts most

Don’t buy an all-in-one because it ticks every box on a features page. Work out which hour of your week hurts: the missed enquiry, the three-day quote, the certificate nobody’s raised, or the invoice nobody’s chased. Fix that first.
