Hunter Apps, Inc. ("Hero365," "we," "us," or "our") operates the Hero365 platform, including our website at hero365.ai, mobile applications, and related services (collectively, the "Service"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, phone number, business name, and business address. If you sign up using Google Sign-In, we receive your Google profile information including your email address and name.

2.2 Business Data

As you use the Service, we store data you provide including customer contacts, job records, invoices, estimates, scheduling data, technician information, and communications sent through the platform.

2.3 Connected Services

When you connect third-party services (such as Google Calendar, Gmail, Stripe, or phone providers), we store the OAuth tokens necessary to maintain the connection and sync data. For Gmail integrations, we access email content to display in your unified inbox and to send emails on your behalf. For Google Calendar, we access calendar events to sync with your job schedule.

2.4 Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, device information, IP address, and browser type.

2.5 Location Data

With your permission, we collect location data from technician mobile devices for dispatch optimization, real-time tracking, and route planning.

3. How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Process transactions and send related information
  • Send scheduling reminders, appointment confirmations, and operational notifications
  • Optimize technician dispatch and route planning
  • Provide AI-powered features including voice agents, content generation, and business insights
  • Monitor environmental conditions (air quality, pollen) for technician safety and marketing suggestions
  • Sync communications across channels (email, SMS, voice) in the unified inbox
  • Respond to customer support requests
  • Send marketing communications (with your consent)
  • Detect and prevent fraud and abuse

4. Google API Services

Hero365's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only request access to the Google data necessary for the features you use (Calendar sync, Gmail integration, Google Business Profile management)
  • We do not use Google user data for advertising purposes
  • We do not sell Google user data to third parties
  • Google data is stored securely and only accessed by authorized services within Hero365
  • You can disconnect Google services at any time from your account settings, which revokes our access

5. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

  • Service Providers: We use third-party services for email delivery (Resend), SMS (Telnyx), payments (Stripe), hosting (Cloudflare, Supabase), and AI processing (Anthropic, OpenAI, Google). These providers process data on our behalf under contractual obligations.
  • Your Customers: Information you choose to share with your customers through invoices, estimates, booking confirmations, and your business website is visible to those recipients.
  • Legal Requirements: We may disclose information when required by law, court order, or governmental regulation.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. OAuth tokens for connected services are stored encrypted. However, no method of electronic transmission or storage is 100% secure.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account, we delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention, financial records).

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate personal data
  • Delete your personal data
  • Export your data in a portable format
  • Opt out of marketing communications
  • Disconnect third-party service integrations
